A Vision Windscreens (ABN 80 494 613 109) repairs and replaces vehicle glass from our workshop at Office 2/106 Enterprise St, Kunda Park QLD 4556, and through our mobile service across the Sunshine Coast. This policy explains what personal information we collect, why we collect it, how we look after it and how you can access or correct it.
We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
1. What we collect
We only collect the information we need to quote, book and carry out work on your vehicle. Depending on the job, that can include:
- Contact details: your name, phone number and email address.
- Job details: the make, model and year of your vehicle, a description or photos of the damage, and anything else you tell us in your enquiry.
- Location: the address where you would like our mobile team to do the work.
- Insurance details: your insurer and claim details, if you ask us to help with an insurance claim.
- Billing details: the information we need to invoice you and record your payment.
- Website and call data: information about how you use our website and which pages lead to calls or enquiries (see sections 5 and 6).
We do not ask for sensitive information such as health information. You can ask a general question without giving your name, but we will need contact details to quote for or book a job.
2. How we collect it
We collect most information directly from you: when you fill in the contact form on our website, call or message us, visit our workshop, or talk to our team on site. If you ask us to deal with your insurer, we may also receive information about your claim from them. Some information is collected automatically when you use our website (see section 5).
3. How we use it
- to respond to your enquiry and give you a quote;
- to book, carry out and follow up on work, including coming to your chosen location;
- to order the right glass and parts for your vehicle;
- to prepare paperwork for your insurer when you ask us to;
- to invoice you, keep business records and meet our legal and tax obligations;
- to understand how people find and use our website so we can improve it.
We will not use your information for an unrelated purpose unless you agree or the law allows it.
4. Who we share it with
We do not sell or rent your personal information. We only share it where that is needed for the job or required by law, for example with:
- your insurer, when you ask us to help with a claim;
- glass and parts suppliers, limited to what they need to supply the right part for your vehicle;
- service providers who help us run the business, such as our website host, email, accounting, analytics and call-tracking providers;
- our professional advisers, such as our accountant;
- government agencies or others where we are required or authorised by law.
5. Our website, cookies and analytics
Our website uses cookies and similar technologies. A cookie is a small piece of data stored by your browser. The services we use are:
| Service | What it does |
|---|---|
| Google Tag Manager and Google Analytics | Records how visitors use the site, such as pages viewed, the device and browser used, approximate location, and actions such as clicking "Request a Quote", tapping a phone number or sending the contact form. We use this in aggregate to improve the site. |
| Call tracking | A script that helps us see which pages and ads lead to phone calls (see section 6). |
| Google Maps | The map on our contact page is provided by Google, which may set its own cookies when the map loads. |
| Google Fonts | Supplies the typefaces the site uses; your browser requests them from Google. |
| Google reviews widget | Displays a selection of reviews from our Google Business Profile, loading reviewer names and profile images from Google. |
| Contact form | Sends the details you enter (name, phone, email and message) to us by email. |
You can block or delete cookies in your browser settings; the site will still work, although some features such as the map may not. You can opt out of Google Analytics with the Google Analytics opt-out browser add-on. Google explains how it uses information from sites like ours at policies.google.com/technologies/partner-sites.
Our website links to other sites, such as Facebook, Google, Yellow Pages and True Local. We are not responsible for how those sites handle your information.
6. Phone calls
We use a call-tracking service to understand which pages and advertising lead to phone enquiries. It may show a different phone number on some pages and record details of calls to that number, such as the number calling, the date, time and length of the call and the page the caller came from.
7. Information held overseas
Some of our service providers, including Google, store data outside Australia, for example in the United States. Where we use these services we take reasonable steps to make sure your information is handled in a way that is consistent with the Australian Privacy Principles.
8. Marketing
We may contact you about a job you have booked with us, or follow up on a quote. We will only send you other marketing if you have agreed to it, and every marketing message will tell you how to opt out. You can ask us to stop at any time.
9. Storage and security
We keep personal information in our business systems, email and paper records at our workshop. We take reasonable steps to protect it from misuse, loss and unauthorised access, including limiting access to our team and using password-protected systems. We keep records for as long as we need them for the job, for warranty and insurance purposes, and to meet our legal obligations (for example, tax records), and then securely destroy or de-identify them.
If we become aware of a data breach that is likely to cause you serious harm, we will act quickly to contain it and will tell you and the Office of the Australian Information Commissioner where the law requires us to.
10. Access and correction
You can ask to see the personal information we hold about you, and ask us to correct it if it is wrong, out of date or incomplete. Contact us using the details below. We will respond within 30 days. If we cannot give you access or make a correction, we will tell you why in writing.
11. Complaints
If you are concerned about how we have handled your personal information, please contact us first so we can try to put it right. We will respond within 30 days. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
